Account Deletion & Retention
This guide explains what happens after an account-deletion request, what is removed, what may be kept for a limited period, and how legal holds affect deletion. Karmik Connect client accounts and Karmik Connect Hiring accounts have different timelines.
1. Karmik Connect Client Accounts
Before requesting deletion
Request deletion from the authenticated app after recent verification. You must first complete or end any active consultation, consultation request or queue entry, pending payment, or active customer-care call.
When the request is accepted
- Normal account access is blocked.
- Routine deletion does not require administrator approval. A security review can last no more than 72 hours and cannot extend the seven-day deadline.
- The account remains recoverable for exactly seven days. Completing the normal verified login for the same account through OTP, Google, Apple, or passkey automatically cancels deletion and reactivates the account.
- Signing in with a different or new number does not reactivate the account scheduled for deletion.
After seven days
If the request has not been cancelled, deletion processing becomes eligible automatically. Contact details, profile photo, PIN, addresses, saved birth details and charts, preferences, login credentials, registered devices, notification details, and other information used for the ordinary account are deleted, revoked, or irreversibly redacted.
Restricted evidence retained for 365 days
Consultation recordings, transcripts, relevant consultation chat, support records and recordings, restricted security evidence, and the minimum protected identity link needed to locate evidence for a later lawful complaint become eligible for automated deletion 365 days after account-deletion processing begins. This information is separated from the deleted profile, cannot be accessed through the former account, and is limited to authorised audit, compliance, dispute, security, or legal use.
2. Karmik Connect Hiring Accounts
When the request is accepted
- Access is disabled and active hiring calls or interviews are ended or cancelled.
- Deletion becomes eligible after a mandatory 24-hour waiting period. Signing in again does not cancel or reactivate a Hiring account.
- Routine deletion does not require administrator approval.
When processing begins
After the 24-hour period, and once any legal hold or temporary processing delay has ended, login and contact details, profile photos, KYC and application documents, certificates, bank proof, signed documents, and direct personal information in the application are deleted or irreversibly redacted. A limited non-identifying application decision or eligibility record may remain for audit, fraud prevention, reapplication rules, or to prevent an already onboarded person from applying as a new candidate.
Hiring recordings
Interview and hiring-call recordings are no longer available through the applicant account after deletion. They become eligible for deletion 180 days after the 24-hour deletion deadline, unless a legal hold applies.
3. Legal Holds
A legal hold is a documented restriction used when information must be preserved for a complaint, dispute, safety matter, investigation, court or authority request, or another legal obligation.
- For a Karmik Connect client account, a hold preserves only selected evidence. It does not reactivate the account, preserve unrelated profile data, or make retained evidence available through the app. The evidence becomes eligible for deletion only after its normal retention deadline has passed and the hold has expired or been formally released.
- For a Hiring account, a hold placed during the 24-hour waiting period pauses the whole deletion while access remains disabled. After deletion processing starts, a narrower hold may preserve retained recording evidence for a documented case, but it does not restore the account or profile. A hold has no automatic expiry and must be formally released before the affected deletion or evidence purge can continue.
- Hold actions and releases are recorded and access to held information is restricted to authorised personnel.
4. Records That May Remain Longer
- Issued GST invoices, including the identity already printed on an invoice, are not rewritten. Tax and accounting records are kept for the period required by applicable law.
- Wallet, payment, refund, chargeback, settlement, and dispute records are kept for the applicable legal or proceeding period.
- Limited deletion, security, fraud-prevention, eligibility, and compliance records may remain in restricted or non-identifying form.
- Copies already contained in encrypted backups or historical storage versions expire under their applicable lifecycle and are not available through the deleted account.
- Deleting a Hiring account does not delete a separate Karmik Connect service-provider account created after successful onboarding.
5. When Deletion Completes
A stated retention date is the date on which information becomes eligible for deletion. A valid legal hold, a temporary service outage, or a processing retry may delay physical removal. Once the reason for a delay ends, eligible information returns to the deletion process.
